Customize Email Templates and Community Configuration Settings

Email templates are integral to sending information and requests to customers, Carriers, Drivers, and Vendors. Email Template settings can be customized in the Email Templates section of the Document Options.

Additionally, use the Email Template Builder from the App Launcher → Email Templates to customize the layout and appearance of email templates.

Create Email Templates

Warning: Clone any TMS packaged Email Templates before customizing instead of editing the provided packaged records. The packaged Email Template records are replaced as part of the TMS upgrade process.

Revenova packages both Classic and Lightning Email Templates. Although it’s not recommended to clone and implement Classic Salesforce Email Templates, it’s possible to do so.

Keep in mind that these email templates are included as a foundation for creating customized email templates and used for backward compatibility for historical customers. It’s recommended to only clone and use TMS packaged Email Templates.

Classic Salesforce email template names don’t include the “LEX2” suffix, while TMS packaged Email Templates includes the “LEX2” suffix. See Salesforce documentation for more information on Classic Salesforce email templates.

Customize and edit each TMS Email Template as necessary.

  1. From the App Launcher, search for Email Templates.

  2. Select the appropriate folder and find the Email Template to customize or edit.

  3. Choose the Email Template name.

  4. Click the Clone button to create a new Email Template record.

  5. From the cloned Email Template record, click the Edit in Builder button.

  6. Apply changes in the Email Template Builder.

  7. Click Save.

Apply Email Templates

Set the above fields for each of the following Email Template types:

  • Customer Load Confirm

  • AI Customer Load Confirm

  • AI Customer Load Confirm Accept

  • Customer Invoice

  • Customer Invoice Batch

  • Carrier Quotation Request

  • Carrier Load Tender

  • Carrier Load Tender Updated Documents

    The Carrier Load Tender Updated Documents follows the Carrier Load Tender settings.

  • Carrier Load Tender with Assignment

    The Carrier Load Tender with Assignment follows the Carrier Load Tender settings.

  • Carrier Load Status

  • Carrier Load Status Batch

    The Carrier Load Status Batch follows the Carrier Load Status settings.

  • Carrier Document Request

    The Carrier Document Request follows the Carrier Load Status settings.

  • Carrier Load Board

  • Driver Load Confirm

  • Remove Carrier

  • Fleet Driver Confirm

  • Appointment Request

Load Documents Visualforce Pages (VFP)

Within the Load Lightning Record Page (LRP), documents can be generated by navigating to the Load → Documents tab. Use the following VFPs to send, view, and generate documents:

  • Request Documents

    • Send a document request email for the assigned Carrier to complete the Load delivery and initiate payment.

  • Resend Rate Confirmation

    • Resend the Carrier documents related to the accepted Load Tender.

  • View POD

    • Review any documents submitted by the Carrier related to the proof-of-delivery (POD).

  • View BOL

    • Review any documents associated with the Bill of Lading (BOL) for the Load.

  • Files

    • Review all files associated with the Load (including invoice attachments), generate documents (such as BOLs), and override field text appearance (for BOLs specifically).

Select different templates by navigating to the Documents tab → Request Documents → Select Template or Documents tab → Resend Rate Confirmation → Select Template.

Although these send email VFP options are typically used to request documents from Carriers or resend information about the Load, this view supports sending all TMS Email Templates.

Note to view documents associated with the POD, a Load must have either a Delivered or Completed Load status.

To view documents associated with the BOL, the Load Status must be at least set to Assigned. Any associated documents must be also received and uploaded.

Load LRP: Documents Button

Although the Documents button can be used to generate documents, the Documents button also includes a Send Email LWC.

  1. Navigate to a Load.

  2. On the right side of the Load LRP, click the Documents button.

  3. Collapse the Email modal by clicking the drop-down arrow (caret) on the left side.

Community Configuration Settings

Community Configuration settings contain messages or instructions that appear to a customer, Carrier, or Driver following the execution of an action such as Accept or Decline via the Email Loop.

Additional configurable settings include legal footer text and LWC titles, which display in the Customer and Carrier Portals.

Note: Messages, instructions, legal footer text, and titles appear to users without being logged in.

Enter text into the following fields to include in TMS Portal LWC locations.

Warning: Do not configure Field Sets on the Load object when configuring this landing message. The Carrier Quote Tender Landing Message will not appear. For example, if the Load Number is added as a Field Set on the Load object, the Carrier Tender LWC will display the Load Number and additional Field Sets instead of the landing message.
