The Email Templates fields in Document Options allow users to define the Reply-To email address for each template in Revenova TMS.
This option may be a specific email address (Reply To Email), a lookup field from the Load or Trip Plan record (Reply To User), or an Organization-Wide Email Address (OWEA). This email address replaces the individual user’s email address in the reply-to field with a more consistent and centralized option when sending emails and documents from the TMS.
Create Organization-Wide Email Addresses
Create one or more organization-wide email addresses for sending TMS documents as required.
Follow the steps provided by Salesforce to create a default organization-wide email address.
Note: Create the Organization-Wide Email Address with the following recommended settings:
Set the Purpose field to User Selection.
Select the Allow All Profiles to use this From Address radio button. Otherwise, the Organization-Wide Email Address is not available as a picklist value for the Reply TO OWEA fields. This setting is a Salesforce limitation - Revenova cannot enforce profile-based sharing for Reply To OWEA fields.
Create additional organization-wide email addresses as necessary.
Warning: Use caution when creating Organization-Wide Email Addresses with a Purpose set to Default No-Reply Address. Salesforce does not allow deleting an address until you insert another default address.
Email Address Settings
Navigate to TMS Admin → Document Options and select the Document Options record to set the appropriate Reply To fields.
Document Options settings that match the specific Load criteria—for example, Mode—are applied first (when they exist in Document Options Selection Criteria) then cascade to the Global Defaults record. Select the Global Defaults Document Options record to apply the Reply To settings for all global documents.
Find the Email Templates section and enter the desired email addresses, users, or OWEA settings for any email templates.
Email Address Logic
When sending emails, the following hierarchy logic controls which address is selected in the Reply To field:
Reply To Email
Reply To User
Lookup fields for the Fleet Driver Confirm Email Template are to the Trip Plan.
Lookup fields for all other Email Templates are to the Load.
Custom Lookup Note: The TMS supports custom lookup fields to the Trip Plan and Load.
Reply To OWEA
Note: The Driver Load Confirm Reply To fields are not defaulted in the Send Email LWC.
The cascade logic operates in the Send Email LWC, Load Activity Tab, and the Send an Email VisualForce Page (VFP).
Note that the Load Activity tab allows for sending email messages with the Reply to OWEA, but not the Reply To User or Reply To Email, by default. The Load Email records do not allow setting the Reply To user.
Warning: If an OWEA record is deleted and was referenced by any Document Options, that value is cleared. Confirm that the required Reply To OWEA fields are set appropriately after deleting an OWEA.
Send Email LWC
The Send Email LWC and Document Generation component allow users to send emails directly from the TMS. Users may choose the reply-to email by selecting an Organization-Wide Email Address or manually entering an email address.
The default reply-to email address is determined by the action the user is performing, such as sending a customer quote or tendering to a carrier, and is based on the defaults configured in Document Options.
Load Activity Tab
Organization-Wide Email Addresses are available in the Salesforce Activity tracking Email component. Select the Organization-Wide Email Address and send the email.
Send an Email VFP
The Revenova-packaged Load Lightning Record Page contains the Load Request Docs VFP. This page allows users to set the reply-to email address by manually entering an email or selecting an Organization-Wide Email Address. The default reply-to email address is determined by the value configured in Document Options.
Click the change sender / recipients link to replace the From and To fields for the email.
