Overview

Rerate/Rebill

Be notified to changes in loads that require requoting or re-invoicing. This feature is enabled on TMS Admin → Modes with the Rerate Notification field.

Configure User Records

  1. Navigate to Setup.

  2. Search and select Users.

  3. Choose Edit.

  4. Move the required permissions from Available to Chosen.

    1. Rerate

    2. Update Invoice

    3. Lock

Three fields on the Load object manage this information:

  • Carrier Rerate Notification – “true” if a change has occurred requiring rerating.

  • Customer Rerate Notification – “true” if a change has occurred requiring rerating.

  • Rerate Fingerprint – stores the most recent hash of the load configuration.

Three field sets control which fields are monitored for changes to the load “fingerprint”:

  • Load TMS11

  • Stop TMS5

  • Line Item TMS2

The customer quote portion of the Freight Quote Assistant has new components to support rerate/rebill:

  • Refresh Quote/Rerate Quote Pill – visible when a change has occurred requiring rerating.

  • Rerate Button – visible when a quote can be rerated/refreshed and the user has rights to this button. This button only displays when a rate entry matches on the customer quote or when a Freight markup is applied. Accessorial markups do not trigger the Rerate button.

  • Update Invoice Button – visible when a pending invoice exists for this quote and the user has rights to this button.

  • Lock Button – visible if user has lock rights to this button.

Checkbox is set if a change occurs requiring rerating.

Rerate Fingerprint (text)

Stores the most recent has of the Load configuration.

Customer Quote

Billing Status (picklist)

Status of the related Customer Invoice, if any. May be used to auto-create the Customer invoice by setting it from Pending to Approved and saving the customer quote.

Locked (Checkbox)

Set when the customer quote is locked for most changes.

Marked Up (Checkbox)

Set when the customer quote is generated from a marked-up Carrier quote.

The user object Rerate/Rebill Permissions field controls which users have access to these added buttons.

The Carrier quote portion of the Freight Quote Assistant has new components to support rerate/rebill:

  • Refresh Quotes/Rerate Quote Badge – visible when a change has occurred requiring rerating.

Only Stored Rate and Marked-Up Quotes may be auto-rated. Spot quotes are not eligible for Rerate/Rebill.

A new customer quote field, Billing Status, may be used to auto-create the customer invoice. Set the field to Approved and save the customer quote.

Rerate/Rebill after a Customer Invoice is Created

Once a customer invoice is generated and sent to the customer, all buttons except the Lock button unavailable.

If changes are required:

  1. Click the Lock button to enable the Rerate button.

  2. Click Rerate.

A new customer quote record is created. The status of the original customer quote is set to Replaced.

Navigate to the customer invoice and click the Create Credit Memo button to create an offsetting credit memo.

When a vendor invoice is created and Load changes require a Rerate, click Refresh Quotes on the Carrier side of the Freight Quote Assistant.

A new Carrier quote is created. The original Carrier quote status remains Accepted with the Tender Hold and Tender Hold Reason fields updated. The Tender Hold Reason field is set to Load details have changed, so quotes must be rerated before tendering or assigning the Load to a Carrier.
